Purpose of Post The post holder will be responsible to the Managing Director and Service Manager. The overall purpose of the post is to provide clerical and administrative assistance with the day to day running of the Keltic Care office and providing administrative support to the management team and support staff. The post holder will be expected to work complete the SCQF Level 6 Business Adminstration qualification. Main Duties and Responsibilities The responsibilities of the post will be within the areas identified above, as appropriate, and will include the following duties: - Dealing with telephone enquiries and directing them appropriately - Supervision of the office space as/when required - Maintaining existing filing systems and creating new systems as/when required - Handling incoming/outgoing correspondence - Updating/creating excel spreadsheets - Using Microsoft Word to write letter/documents as required - Assisting with meetings – setting up room, IT support, minute taking - Photocopying - Accessing support planning database to update service users/staff with requested information - Handling petty cash/updating individual budget records - Assisting with Quality Audits Additional Responsibilities All work is done on a highly confidential basis and all who come into contact with Keltic Care must be treated with dignity and respect. There is considerable emphasis on, and need for, excellent communication within the organisation and the role of Administration Assistant will have to exercise this daily
